Location: Mercerville, NJ
Employment Type: Contract
Work Arrangement: Onsite
Schedule: Monday–Friday | 8:30 AM–5:30 PM
Compensation: $25.00–$28.00 per hour
Position Overview
Wheeler Staffing Partners is seeking an experienced Treatment Coordinator for an onsite contract opportunity in Mercerville, New Jersey. This position is responsible for coordinating every stage of the patient surgical journey—from the initial consultation through surgery and post-operative care—while ensuring an exceptional patient experience and efficient clinical operations.
The ideal candidate has experience in oral surgery, a dental specialty practice, or a medical specialty environment, along with a strong understanding of treatment planning, insurance coordination, patient financial counseling, and surgical scheduling.
Key Responsibilities
Surgical Coordination
- Coordinate and maintain the oral surgeon's daily surgical schedule to maximize efficiency.
- Ensure all required documentation is complete prior to surgery, including referrals, imaging, medical clearances, consent forms, laboratory results, and insurance authorizations.
- Review and communicate pre-operative and post-operative instructions with patients and caregivers.
- Coordinate surgical readiness for implant procedures, bone grafting, IV sedation, and other oral surgery treatments.
- Communicate with hospitals, anesthesia providers, referring offices, and healthcare partners to facilitate seamless patient care.
- Maintain accurate surgical schedules, authorizations, and case documentation.
Treatment Coordination
- Present treatment plans and review financial estimates with patients.
- Explain insurance benefits, patient financial responsibility, and available payment options.
- Coordinate payment arrangements and assist patients with financing programs such as CareCredit.
- Follow up with patients regarding recommended treatment to improve case acceptance.
- Monitor consult-to-surgery conversion metrics and provide reporting to practice leadership.
- Partner with billing and front office teams to ensure treatment plans, coding, and documentation are accurate.
- Communicate treatment updates with referring providers.
Patient Experience
- Serve as the primary point of contact throughout the patient's surgical experience.
- Deliver exceptional customer service while addressing patient questions and concerns with professionalism and compassion.
- Resolve scheduling conflicts and coordinate changes as needed.
- Foster strong communication between providers, clinical staff, administrative teams, and patients.
Administrative Support
- Maintain accurate patient records within the practice management system.
- Assist with insurance verification, prior authorizations, and claims documentation.
- Participate in daily team meetings and ongoing training initiatives.
- Ensure compliance with HIPAA, OSHA, infection control, and company policies.
Qualifications
Required
- High school diploma or equivalent.
- Minimum of two (2) years of experience in oral surgery, dental specialty, or medical scheduling and treatment coordination.
- Strong knowledge of oral surgery procedures, dental terminology, and insurance verification processes.
- Experience presenting treatment plans and discussing financial arrangements with patients.
- Excellent communication, customer service, and interpersonal skills.
- Strong organizational, time management, and multitasking abilities.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Ability to work independently while collaborating effectively with clinical and administrative teams.
Preferred
- Experience using WinOMS practice management software.
- Experience obtaining insurance authorizations and coordinating surgical cases.
- Familiarity with CareCredit or similar patient financing programs.
- Previous experience in an oral and maxillofacial surgery or other dental specialty practice.
Physical Requirements
- Ability to sit or stand for extended periods throughout the workday.
- Ability to move throughout office and clinical areas as needed.
- Ability to lift and carry supplies weighing up to 35 pounds.
- Frequent reaching, bending, keyboarding, and use of office equipment.
- Manual dexterity sufficient for documentation and administrative responsibilities.
