Wheeler Staffing Partners is seeking an experienced Senior Executive Assistant in Dallas, TX. The Senior Executive Assistant will be responsible for providing administrative support to our clients President/CEO and 1-2 Sr. Vice President(s). This individual will play a key role in assisting the department in daily business activities, and handling sensitive and confidential information in a professional manner. This role is primarily ON-SITE with occasional remote days depending on the leader’s schedule.

Senior Executive Assistant Responsibilities: 
  • Extensive and involved calendar and travel schedule management for President/CEO and other Executive leaders
  • Proactive, accurate & timely completion of routine daily, weekand ly, monthly tasks as assigned ( reports, internal control reporting, meeting scheduling/organizing/set up, etc.).
  • Prioritize to meet deadlines in a fast-paced environment
  • Serves as a leader and menthe tor for Admin Assistant team; Functions as a liaison with internal/external admins to resolve scheduling issues
  • Prepares travel and expense reports for all supported leaders resolving all issues; reviews reports for leaders’ approval
  • Maintains department functions including budget management, report creation and processing, department files, vendors, supplies, and equipment
  • Meeting preparation (logistics, documents, presentatiothe ns, etc.) for leadership team and Quarterly Board Meetings
  • Serve as point  of contact when providing internal and external representation of supported leaders to proactively resolve issues, before they arise or escalate
Senior Executive Assistant Job Requirements: 
  • High School Diploma or equivalent required
  • 5-8 years of experience supporting executive level leadership
  • 3-5 years of experience supporting C-suite level leadership 
  • Must be willing to work onsite
  • Intermediate  MS Office required (Outlook, Excel, Word, PowerPoint)
  • Dealing with Ambiguity – effectively cope with change by shifting gears comfortably, acting without having the total picture, and handling risk and uncertainty comfortably Strong interpersonal and conflict management skills
  • Strong organizational and multi-tasking skills
  • Must be detail oriented, organized, flexible, and willing to assume new projects
  • Ability to maintain strict confidentiality is required
  • Ability to interact effectively with all levels of staff and management is essential
  • Must be able to work in sitting position, use computer and answer telephone
