Job Summary
Wheeler Staffing Partners is seeking a Senior Benefits & Leave Administrator for a fully remote contract opportunity with potential to convert. This role oversees the administration of health and welfare benefit plans, manages end-to-end leave of absence processes (FMLA, ADA, STD, LTD, state leaves), and ensures compliance across federal and state regulations. The Senior Benefits & Leave Administrator serves as the primary point of contact for employee benefits and leaves, partners closely with internal teams and vendors, and delivers a high-touch employee experience.

Job Summary
Wheeler Staffing Partners is seeking a Senior Benefits & Leave Administrator for a fully remote contract opportunity with potential to convert. This role oversees the administration of health and welfare benefit plans, manages end-to-end leave of absence processes (FMLA, ADA, STD, LTD, state leaves), and ensures compliance across federal and state regulations. The Senior Benefits & Leave Administrator serves as the primary point of contact for employee benefits and leaves, partners closely with internal teams and vendors, and delivers a high-touch employee experience.
Essential Duties & Responsibilities
Benefits Administration

Administer daily benefits operations including medical, dental, vision, HSA/FSA, life/AD&D, disability, retirement, and EAP programs.

Manage new hire enrollments, life event changes, and terminations.

Conduct eligibility audits and reconcile monthly carrier invoices; resolve discrepancies promptly.

Coordinate and execute open enrollment, including project planning, employee communications, system testing, and data validation.

Ensure accurate management of COBRA events and timely processing of required notices.

Maintain plan documents, SPDs, SMMs, and partner with carriers/brokers on renewals and plan changes.

Track and report ACA data; support filings including 1095-C/1094-C, Form 5500, and nondiscrimination testing.
Leave of Absence & ADA Administration

Manage the full leave lifecycle: intake, eligibility, designation, communication, tracking, and return-to-work coordination.

Coordinate STD and LTD claims with carriers and ensure accurate alignment of leave pay with payroll schedules.

Track benefit premiums, including arrears during unpaid leaves.

Facilitate the ADA interactive process, obtain medical documentation, evaluate accommodations, and maintain required documentation.

Partner with managers and HR teams on scheduling, coverage planning, and employee communication while maintaining confidentiality.

Maintain accurate leave records in the HCM system and generate reports on open cases, return-to-work timelines, and upcoming expirations.

Ensure compliance with FMLA, ADA, ACA, COBRA, ERISA, HIPAA, and applicable state leave regulations; update processes as laws change.
Process, Reporting & Employee Support

Maintain SOPs, workflows, templates, and employee-facing communications for benefits and leave processes.

Prepare routine dashboards tracking enrollment metrics, open enrollment completion, invoice variances, leave cases, and SLA adherence.

Process benefit enrollments and changes through an HCM or benefits platform (e.g., UKG, Workday, Oracle) and validate carrier files/EDI feeds.

Provide high-touch employee support via email, ticketing systems, and virtual office hours; resolve escalated issues and liaise with carriers when needed.

Create concise guides, FAQs, and deliver brief trainings for managers and employees on benefits, life events, and leave basics.
Education & Experience Requirements

Bachelor’s degree in HR, Business, or related field; equivalent experience considered.
-
5+ years of hands-on benefits administration and leave management in a multi-state environment.
-
Experience with self-funded plans or healthcare environments preferred.
-
Proficiency with a modern HCM/benefits platform (UKG, Workday, Oracle, or similar) required.
-
Strong understanding of ACA, ERISA, HIPAA, COBRA, FMLA, ADA, and multi-state leave laws.

Exceptional attention to detail, strong follow-through, and ability to manage sensitive information with discretion.

Skilled in invoice reconciliation, data accuracy, and Excel-based reporting.

Strong communication skills with a customer-service mindset and ability to support employees with clarity and empathy.

Process-oriented with experience building SOPs, improving workflows, and meeting defined SLAs.
