Job Description

Wheeler Staffing Partners is hiring an Office Assistant in Las Cruces, NM. The Office Assistant is the first point of contact for the office and is also responsible for greeting visitors and dealing with queries from the public and customer and performs other clerical tasks as needed. This is an on-site role, reporting to the Las Cruces office Mon-Fri.


Office Assistant Job Responsibilities:
  • Answer incoming phone through the main switchboard and transfer calls to the proper department
  • Distribute and sort mail, collect faxes, and distribute to appropriate department, and prepare overnight letters/packages as directed
  • File documents and correspondence
  • Copy materials and distribute mail/fax/scan documents
  • Order office supplies
  • Assist with data entry
  • Assist with keeping the office organized
  • Maintain Corporate Mailing Lists for email blasts, mail merges and other communications
  • Documents complaints from employees and clients that are received on the main corporate number
  • Help coordinate office events
  • Maintains a high degree of confidentiality at all times due to access to sensitive information
  • Maintains regular, predictable, consistent attendance and is flexible to meet the needs of the department
  • Follows all Medicare, Medicaid, and HIPAA regulations and requirements
  • Abides by all regulations, policies, procedures and standards
  • Performs other duties as assigned
  • Maintains positive internal and external customer service relationships
  • Maintains open lines of communication
  • Plans and organizes work effectively and ensures its completion
  • Meets all productivity requirements
  • Demonstrates team behavior and promotes a team-oriented environment
  • Actively participates in continuous quality improvement
  • Represents the organization professionally at all times


Office Assistant Job Requirements:
  • High school diploma/GED
  • 1+ year of related experience
  • Experience with Microsoft Office Suite
  • Computer savvy
  • Excellent oral and written communication skills
  • Ability to multi-task under tight deadlines
  • Strong communication skills and interpersonal skills
