Wheeler Staffing Partners is seeking a highly organized and proactive Part-Time Facilities Assistant to support the smooth operation of our client’s office. This role involves ensuring facilities and office supplies are well-maintained, assisting with administrative tasks, and liaising with building management to address maintenance needs.
Responsibilities:
- Maintain and restock breakroom supplies, including coffee, creamers, utensils, cups, napkins, water, and soft drinks.
- Monitor and replenish copy paper at all supply stations and copy machines.
- Sort and scan incoming mail, ensuring it is emailed to the appropriate departments.
- Manage office supply inventory and place orders with Office Depot as needed.
- Coordinate orders for coffees, soft drinks, plates, and other breakroom items through Perks.
- Schedule regular servicing for water filters in breakrooms and ice machines.
- Handle annual backflow testing coordination based on mailed reminders.
- Adjust clock settings and replace batteries as needed, with a focus on boardroom and executive offices.
- Ensure conference rooms remain clean and presentable.
- Provide phone coverage during receptionist absences.
- Prepare outgoing mail and drop it off in the designated mail drop area.
- Maintain postage supplies, including ordering postage strips and ink for the postage machine.
- Monitor wall-mounted water dispensers and coordinate filter replacements with building management.
- Identify and report damaged or stained ceiling tiles for replacement by building management.
- Oversee the management of building and suite access cards.
- Manage the FedEx address book and handle billing twice monthly.
- Order office nameplates for cubicles and offices as required.
Requirements:
- Minimum of 2 years of experience in facilities support, administrative services, or a similar role.
- Associate’s Degree preferred but not required.
- Strong attention to detail and ability to manage multiple priorities effectively.
- Excellent communication and organizational skills.
- Familiarity with office supply management and building maintenance coordination.
- Basic knowledge of mailroom operations, including postage and FedEx systems.
- Comfortable working a part-time schedule.
- Ability to contribute to a well-organized and efficient office environment.
