Executive Assistant – Full Time (Hybrid Remote, DFW Required)

Location: Plano, TX (Remote with Onsite Presence Quarterly)
Pay: $40–$45/hour (Equivalent to $85K–$95K annually)
Schedule: Monday–Friday | Standard Hours: 9 AM–5 PM (Flexible as needed)
Onsite Requirement: Must reside in DFW; onsite in Plano once per quarter for executive and leadership meetings


About the Role

Wheeler Staffing Partners is seeking a polished and highly skilled Executive Assistant to provide executive-level administrative support to 3–4 senior leaders. This role requires a strong command of Microsoft Excel, PowerPoint, calendar management, travel coordination, and cross-functional communication. The Executive Assistant will serve as a critical resource to executive leadership, ensuring accuracy, professionalism, and confidentiality in all tasks.


Key Responsibilities

  • Serve as a communication liaison between executives, business units, internal teams, and external partners.

  • Manage and prioritize complex calendars for multiple executives across various time zones.

  • Coordinate domestic and limited international travel (approx. 95% domestic, 5% international) using Concur; oversee itineraries, logistics, and expense reports.

  • Create, edit, and format PowerPoint presentations from scratch for executive-facing meetings.

  • Utilize advanced Excel skills (formulas, pivot tables, data manipulation) for reporting and data tracking.

  • Prepare meeting agendas; attend meetings; take notes; manage action items and follow-up communication.

  • Compose, proofread, and edit documents with a high degree of accuracy.

  • Maintain strict confidentiality and handle sensitive information with discretion.

  • Assist with special projects, departmental support, and ad-hoc tasks as assigned.

  • Ensure timely workflow, effective communication, and proactive problem-solving for assigned executives.


Required Qualifications

  • 7+ years supporting senior leadership or executive-level teams.

  • Advanced proficiency in Excel, PowerPoint, Outlook, and other Microsoft Office applications.

  • Strong experience managing multiple executive calendars, time zones, and shifting priorities.

  • Required experience with Concur (travel and expense management).

  • Excellent communication, organization, and time management skills.

  • Ability to maintain confidentiality and handle sensitive information.

  • Professional presence, polished communication style, and strong interpersonal skills.

  • High level of accuracy, attention to detail, and follow-through.

  • Ability to multitask and work effectively in a fast-paced, dynamic environment.

  • High School Diploma or equivalent.


Preferred Qualifications

  • Some college coursework or relevant professional certifications.

  • Advanced Excel: formulas, pivot tables, data manipulation.

  • Advanced PowerPoint creation, formatting, and design.

  • Strong adaptability, problem-solving, and resourcefulness.

  • Ability to build strong working relationships across the organization.

  • Ability to learn new processes, systems, and tools quickly.


Travel Requirements

  • Minimal; none outside of quarterly onsite meetings in Plano.
