Job Description
Wheeler Staffing Partners is hiring an Executive Assistant in Irving, TX. The executive assistant must have meticulous attention to detail and ability to prioritize amidst competing demands to keep the executive's schedule running like a well-oiled machine. They must exhibit a proactive mindset and an uncanny ability to foresee potential obstacles. Resourcefulness and analytical acumen will allow this individual to navigate complex projects, data analysis, and financial reports with ease, ensuring the CFO receives accurate and timely information for critical decision-making. This is an on-site role, reporting to the Irving office Mon-Fri.

Executive Assistant Job Responsibilities:
- Responsible for scheduling and managing the CFO’s daily schedule and calendar including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals, and maintaining an organized office.
- Coordinates, plans, and organizes small-to large-scale meetings (weekly & monthly).
- Undertakes special assignments/projects on a wide variety of issues as requested by the CFO.
- Contributes to the excellent reputation of the CFO’s office through professional, friendly, and respectful interactions internally and externally.
- Manages office documentation, filing and databases.
- Coordinates travel arrangements when necessary.
- Participates in the planning and execution of company events.
- Responsible for producing requested reports and presentations.
- Acts as the point of contact between the executive and colleagues.
- Replenishes bi-weekly office snacks and any other necessary supplies.
- Manages CFO’s monthly expense report and keeps record of all receipts.
- Researches and provides information/ideas on a variety of topics.
- Assists in the management of all department projects, timelines, and due dates.
- Reviews incoming reports and handling all correspondence directed to the executive.
- Leads the birthday committee to ensure all employee birthdays are properly celebrated.
- Manages all recruitment efforts, scheduling, and communication for the CFO.
- Performs minor accounting duties.
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
- Performs personal duties on behalf of the CFO when instructed.
- Degree in business management, accounting, or related field, or training in secretarial skills, office management and/or administrative studies.
- 3-5 years supporting C- Level Executives, preferably CFO
- Strong organizational skills including the ability to manage calendars and effectively maintain records and files.
- Experience in organizing meetings, preparing/facilitating meetings, assisting with travel and hotel accommodations, and providing general office operations support.
- Demonstrated ability to achieve high performance goals in a complex and fast-paced environment.
- Very strong interpersonal skills and the ability to build and maintain professional, friendly, and cordial relationships with stakeholders, including staff, executives, and external partners.
- Must be willing to work onsite
- Highly resourceful team-player with the ability to also be extremely effective independently.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Expert level written and verbal communications.
- Proficiency in grammar, spelling, and proofreading.
- Strong computer skills including proficiency in Microsoft Office programs; Word, Excel, PowerPoint, and Outlook.
