Hospice Administrative Specialist

Location: Middlebury, CT
Employment Type: Contract (8–12 weeks; potential to extend)
Schedule: Monday–Friday | 8:00 AM – 5:00 PM
Work Environment: 100% Onsite
Pay Rate: $18–$21 per hour


Position Summary

Wheeler Staffing Partners is seeking a highly organized, detail-oriented, and compassionate Hospice Administrative Specialist. This role acts as a central hub of communication and coordination between patients, families, clinicians, and leadership. The specialist will support daily hospice operations, triage calls, manage documentation, coordinate schedules, and ensure smooth workflows in a sensitive care environment. This position requires professionalism, emotional stability, and the ability to thrive in a fast-paced healthcare setting.


Key Responsibilities

Communication & Support

  • Screen, answer, and transfer incoming calls from patients, families, and field staff.

  • Provide clear communication regarding schedule updates, reminders, and team needs.

  • Support hospice aides with schedule adjustments, PTO changes, and meeting notifications.

  • Interact with patients and families facing sensitive situations, requiring compassion and emotional stability.

Administrative & Clerical Duties

  • Perform general office tasks including photocopying, faxing, mailing, and filing.

  • Maintain and order office supplies and inventory.

  • Prepare meeting agendas, take minutes as needed, and coordinate appointments or travel arrangements.

Documentation & Compliance

  • Review, process, and file patient documentation and incoming faxes accurately and timely.

  • Maintain organized patient records and assist with compliance requirements.

  • Prepare and upload required documentation for weekly interdisciplinary group (IDG) meetings.

  • Conduct weekly chart reviews to verify recertification timelines and ensure accuracy.

Scheduling & Workflow Coordination

  • Assist with scheduling patient visits, recertifications, and care orders.

  • Maintain daily workflows for hospice teams, ensuring accuracy and timeliness.

  • Participate in daily team huddles and ensure updates are reflected in the EMR system.

  • Assign hospice aides to new patients and coordinate schedule changes as needed.

Meeting Preparation

  • Prepare and organize IDG materials, ensuring all documents are ready ahead of weekly meetings.

  • Distribute meeting documentation to field staff and after-hours teams.


Qualifications

Required

  • High school diploma or equivalent.

  • 2+ years of experience in a healthcare, medical office, or administrative support role.

  • Strong knowledge of medical terminology.

  • Computer proficiency, including Microsoft Office.

  • EMR knowledge preferred (experience with HomeCare HomeBase is helpful but not required).

  • Strong communication, organizational skills, and ability to multitask in a fast-paced environment.

  • Emotional stability and professionalism when interacting with patients and families in hospice care.

Preferred

  • Experience in hospice, home health, or palliative care settings.

  • Familiarity with insurance authorizations, recertification timelines, and IDG processes.
