Employment Type: Contract
Pay Rate: $28.00–$31.25 per hour
Work Location: Fully Remote (Open to candidates nationwide)

Position Overview
Wheeler Staffing Partners is seeking an experienced Leave & Accommodations Specialist to administer and enhance leave of absence and accommodation programs in a fully remote environment. This role is responsible for managing Family and Medical Leave, short-term disability, long-term disability, and accommodation requests while ensuring compliance with federal, state, and local regulations. The ideal candidate has strong experience designing and managing leave programs, supporting a multi-state workforce, and collaborating with human resources, managers, and third-party administrators.

Key Responsibilities

Leave Administration
• Administer Family and Medical Leave, short-term disability, long-term disability, and general leave of absence requests from initiation through closure
• Build and document end-to-end leave administration processes, including intake, eligibility determination, tracking, and return-to-work procedures
• Ensure compliance with all applicable federal, state, and local leave regulations
• Partner with third-party administrators and disability carriers to coordinate claims and manage case flow
• Develop and maintain leave tracking systems and dashboards to monitor utilization, trends, and compliance
• Create employee and manager communications, guides, and training materials related to leave policies and procedures

Accommodations Administration
• Design and implement the interactive accommodations process, including documentation templates, workflows, and escalation protocols
• Facilitate interactive discussions with employees, managers, and healthcare providers to identify reasonable accommodations
• Maintain accurate and compliant documentation for all accommodation requests and resolutions
• Provide guidance to human resources and managers on accommodations compliance and best practices
• Partner with human resources leadership to establish consistent communication protocols regarding leave and accommodation outcomes

Reporting and Compliance
• Develop reporting frameworks to track leave usage, accommodation requests, resolution timelines, and program effectiveness
• Provide regular reporting and updates to human resources leadership on open cases, trends, and risk areas
• Monitor and ensure compliance with federal, state, and local employment laws and disability regulations
• Stay current on regulatory and legislative changes impacting leave and accommodations

Benefits Administration Support
• Provide supplemental support to the benefits team during peak periods, including open enrollment and employee inquiries
• Assist with coordination between leave administration and disability or benefits carriers
• Support integration between leave management and benefits administration processes

Required Qualifications
• Minimum of five years of experience administering leave of absence programs, including Family and Medical Leave, short-term disability, long-term disability, and accommodations
• Strong knowledge of federal and state leave laws and disability regulations
• Experience supporting a remote, multi-state workforce
• Proven ability to build and implement leave and accommodations programs and processes
• Experience supporting benefits administration, including carrier coordination and employee support
• Strong documentation, reporting, and process development skills
• Advanced proficiency in Microsoft Excel
• Excellent communication, interpersonal, and problem-solving skills
• Ability to handle sensitive and confidential information with professionalism
• Experience supporting hourly employee populations

Preferred Qualifications
• Experience using human resources information systems such as UKG
• Professional certification related to leave management or compliance preferred
• Experience developing reporting dashboards and process improvements

Work Environment
• Fully remote work environment
• Requires reliable internet connection and ability to work independently
• Frequent use of human resources systems, reporting tools, and communication platforms
