Job Description:
Wheeler Staffing Partners is hiring an AIA Billing Coordinator for a contract-to-hire opportunity in Downtown Dallas, TX. This is a 100% onsite role requiring strong attention to detail, professionalism, and experience in billing within construction, engineering, or architecture industries.
Key Responsibilities:
- Set up new projects in accordance with company policy, ensuring accuracy in project setup.
- Review client and consultant contracts to maintain project budgets and billing terms.
- Communicate with Project Managers (PMs), Shareholders, and Principals regarding contract documents, change orders, additional services, and approvals related to billing.
- Maintain and update project billing folders with relevant documentation.
- Prepare draft and final invoice packages, including necessary backup documentation.
- Research and resolve any unbilled issues to ensure prompt and accurate invoicing.
- Assist consultant accounts payable coordinator with invoice validation.
- Identify and suggest billing process improvements to the Billing Manager, Controller, and CFO.
- Work with cash receipts team to reconcile variances in client payments.
- Generate and distribute reports for management as requested.
- Prepare year-end support for financial audits and regulatory compliance.
- 5+ years of billing experience (AEC industry preferred: Architecture, Engineering, Construction).
- Must have experience with construction billing and AIA invoicing (AIA G702/G703 forms).
- Strong understanding of billing documentation, lien waivers, and compliance requirements.
- Proficiency in MS Office (Excel, Word, Outlook) is required.
- Experience with Deltek Vantagepoint is a plus.
- Excellent attention to detail and strong organizational skills.
- Ability to work independently and meet deadlines in a fast-paced environment.
- Strong professionalism and communication skills required.
- 100% onsite role in Downtown Dallas, TX.
- Contract-to-hire position with long-term potential.
