HR Coordinator


Employment Type: Contract 

Pay Rate: $22-25/hour

Work Schedule: Monday - Friday, 8:00 AM - 4:30 PM EST

Location: Dallas, TX 75390
Onsite Requirements: Hybrid (must be in DFW area), work onsite 2 days a week at least. Mostly remote after training, with 1-2 times in the office per week.

The HR Services Team at Wheeler Staffing Partners focuses on opportunities for improvement related to systems, processes, procedures, and data, taking a proactive approach versus reactive. The HR Coordinator is responsible for providing excellent service to colleagues and customers, ensuring timely transactional processes including data management updates, onboarding, background checks, records and retention, and tuition reimbursement processing.

Essential Functions:
  • Provide responses to inquiries from new hires, employees, and external customers in areas such as data entry, transactions inquiries/requests, tuition reimbursement inquiries, employee onboarding and processing, records management, or general customer service.
  • Receive, triage, route, or answer customer HR inquiries in a timely manner and provide information and resources as needed.
  • Support monitoring or assistance with pending HR requests to ensure prompt resolution. Follow up with outstanding inquiries in order of issue age and urgency.
  • Identify and recommend changes to existing methods and systems to increase accuracy, efficiency, and responsiveness.
  • Process, review, and/or audit various human capital management (HCM) employee transactions.
  • Deliver excellent customer service for all preboarding activities, provide status updates to Talent Acquisition Partners and hiring managers, and complete new hire transactions in the applicant tracking system.
  • Provide new employee orientation information, answering questions and providing guidance in preparation for the first day.
  • Ensure details in the applicant tracking system are accurate before new hire processing and complete HCM new hire transactions if needed.
  • Process employee requests such as verifying prior state service, verification of employment, and public service loan forgiveness forms.
  • Prepare departmental files for review in response to employee requests, performance appraisal requests, and/or legal requests (Subpoenas or TPIA requests), adhering to institutional records and retention policies.
  • Prepare employee files for regulatory review and audits, ensuring appropriate documentation is collected to create and maintain new employee files for staff employees.
  • Review and process employee tuition applications for departmental approval, communicate with employees on tuition reimbursement inquiries, and complete and initiate all tuition reimbursements for processing.
  • Efficiently prioritize workload to ensure all tasks are accomplished in a timely manner.
  • Adhere to all HR Services’ standard operating procedures.
  • Provide back-up support for HR Services Support team as needed.
  • Perform other duties as assigned.

Minimum Qualifications:

Education/Experience:
  • Required: Bachelor's Degree and no experience required. May consider relevant years of experience in lieu of education (minimum of four (4) years of related experience with no degree).
  • Preferred: Human Resources, customer service, data entry, or related experience. Experience with multiple ATS, CRM, and HRM systems – specifically Taleo and PeopleSoft products.

Knowledge, Skills, & Abilities:
  • Ability to interpret policy and apply procedures, techniques, or practices to work problems.
  • Effective verbal and written communication skills.
  • Good computer skills.
  • Thorough knowledge of records management storage and retrieval systems.
  • Ability to type 30 words per minute.
  • Use good judgment and decision-making skills.
  • Proficiency in reading, writing, simple to advanced mathematics, data analysis, and report writing.

Work Environment:
  • Hybrid work environment, with moderate noise (i.e., home office with computer, phone, and printers).
  • Ability to sit at a computer for an extended period.
  • Must be able to perform all essential duties of the job with or without reasonable accommodation.
